Many exciting projects are underway, including the implementation of new systems to improve our processes and customer experience, and the redesign of our website.

JOB SUMMARY

Reporting to the agency’s management, this person helps coordinate sales, operational, and administrative activities. He or she ensures the quality of general communications with clients and manages the agency’s system data and website.

The coordinator is responsible for negotiating and booking flights with airlines for all trips included in the program and monitors purchasing costs.

In a little more detail, what would the tasks look like?
AGENCY ACTIVITIES AND CLIENT COMMUNICATION
  • Review and validate travel information and documents for both customers and on the web;
  • Assist with data entry and management (input and maintenance) in systems (products, pricing, promotions) according to the established schedule and timeline;
  • Help organize the agency’s sales activities (presentations, pre-departure events, information sessions, videoconferences, trade shows, booths, etc.) and evaluate their results;
  • Help develop the procedures manual for the agency's activities; ;
  • Support the team with events and activities, participate in certain events, and be present on-site when required; ;
  • Send out surveys to customers;
  • Organize and consolidate survey results (from guides and clients);
  • Provide day-to-day administrative support (managing email inboxes, calls, voicemails, etc.);
  • Support the sales team during peak periods.
AIRBORNE PURCHASES FOR PROGRAMMING
  • Help plan trips
  • Book group space (for passengers and bicycles) with airlines on the best flights and on the best days for travel as outlined in the itinerary;
  • Negotiate and secure the best prices;
  • Arrange air transportation for guides and mechanical equipment;
  • Keep the content of contractual agreements up to date in the agency’s systems (deposits, participant lists, final payments, invoicing, etc.);
  • Track the issuance of airline tickets for our clients and guides.
INVENTORY MANAGEMENT AND THE RESLYNX SYSTEM
  • Manage the marketing of travel products (pricing, inventory, etc.);
  • Optimize inventory in Reslynx;
  • Provide support for creating trips and products in the systems;
  • Compile the sales figures in the tracking table
JOB REQUIREMENTS
  • College-level studies in a field related to the job (administration, tourism management) or training combined with relevant experience;
  • At least 3 years of experience in customer service;
  • Experience in administration and/or data management;
  • Experience in the travel industry (tour operator, travel agency, airline, etc.) is a plus;
  • Excellent command of French and English, both spoken and written;
  • Excellent knowledge of the Office suite and familiarity with RESLYNX (a plus).
  • Strong time management and prioritization skills;
  • Flexibility, openness to change, and a willingness to seek solutions;
  • Team spirit and collaboration.
NOMINATION AND OTHER DETAILS
  • Permanent position; ;
  • Full-time, 35 hours per week, Monday through Friday.
